A description of each of the committee roles is as follows:

Chairperson

  • Be the public face of Dunstable Road Runners
  • Chair and lead monthly meetings
  • Responsible for key decision making within the club alongside the committee
  • Collate and present the clubs annual report at the clubAGM

Vice Chairperson

  • Support the Chairperson in leading the club
  • Act as Chairperson when required in the Chairpersons absence
  • Support the Chairperson in key decision making alongside the committee
  • Undertake any tasks requested of you by the Chairperson

Secretary

  • Be the first point of contact for enquiries
  • Take and distribute minutes at monthly meetings
  • Prepare and distribute agendas for monthly meetings
  • Circulate to members any information received regarding events, offers etc. that are deemed to be of interest

Treasurer

  • Banking of cash and cheque receipts
  • Processing and payment of purchase invoices and expenses
  • Issuing of sales invoices and collection of outstanding debts
  • Reconcile bank statements
  • Maintain the club accounts by use of an appropriate accounting system
  • Ensure accountability in all areas of the club where funds are collected e.g. races, social   events etc.
  • Ability to operate online banking for receipts and payments
  • Good accuracy and numeracy skills

Membership Secretary

  • Maintain and update the club membership database
  • Collect monies from new members and renewals accordingly
  • Provide membership cards to those members that request one
  • Monitor membership renewals and chase outstanding payments accordingly
  • Be a point of contact for potential new members

Club Captain

  • Register club teams for events such as X-country championships, national events, relays etc.
  • Attend meetings for Three Counties X-Country
  • Work with Vice Club Captain to assemble teams for events
  • Work with Vice Club Captain to make Runner of the Month nominations and selections
  • Promote and maintain enthusiasm throughout the club

Vice Club Captain

  • Support Club Captain in registration of club teams for events such as X-country championships, national events, relays etc.
  • Attend meetings for Three Counties X-Country in Club Captains absence
  • Work with Club Captain to assemble teams for events
  • Work with Club Captain to make Runner of the Month nominations and selections
  • Promote and maintain enthusiasm throughout the club

 Kit Coordinator

  • Order kit from suppliers when necessary
  • Monitor stock levels of kit
  • Kit sales to club members
  • Design and specifications of club kit

Coaching Coordinator

  • Responsible for coordinating all coaching qualifications throughout the club.
  • Monitor the Wednesday group system with respect to leaders, pace targets and groups sizes.
  • Keep club members up to date with any coaching requirements (new leader volunteers etc.) and any courses available that may be of interest.
  • Co-ordinate beginners courses when required.

 Website Administrator

  • Responsible for keeping the website up to date and ensuring all information displayed is relevant/accurate
  • Monitoring the website contact mailbox and either responding to or distributing queries appropriately.

Awards Coordinator

  • Manage performance awards on an ongoing basis keeping a record of race results (supplied by results coordinator) and award levels gained.
  • Ensure all trophies and shields are collected from previous winners at the end of each year.
  • Co-ordinate trophy engraving in time for presentation evening.
  • Supply details of award recipient’s names to website coordinator for publishing.

Events Coordinator

  • Co-ordinate and publicise dates for the main DRR organised events
  • Organise and chair sub-committees for each event
  • Ensure feedback is collected after each event from organisers and participants
  • Monitor and report on event progress to main committee 
  • Escalate to main committee any issues that may affect the successful completion of an event
  • Evaluate and coordinate any requests for new events via committee

Results Administrator

  • Search local race results for club members each week and supply them to the website administrator, local newspaper and awards coordinator. Update Facebook.
  • Be the primary point of contact for any race results that may not have been picked up during the search

Social Secretary

  • Organise social events throughout the year for club members including invitation evenings with other running clubs.
  • Make any room catering bookings necessary to hold events
  • Coordinate the promotion of social events to members.

Funding Coordinator

  • Coordinate applications for any relevant funding for the club
  • Keep committee up to date on any further funding that could be available to the club
